Terms and Conditions

1. Service description
Calendr is a scheduling platform for professional services firms. It provides booking pages, team scheduling, calendar integrations, forms, and related tools on a subscription basis.
2. Account terms
2.1 Registration
You must register with accurate information and authenticate via password or supported identity providers (Google or Microsoft).
2.2 Firm access
Users belong to a firm with its own subdomain and role-based permissions. Firm administrators manage invitations and access.
3. Acceptable use
You must use Calendr lawfully and professionally. You must not upload malicious code, send unsolicited communications through the service, or infringe others’ rights.
3.1 Prohibited personal data
You must not intentionally submit special-category personal data under Article 9 UK GDPR, criminal-conviction data, or personal data relating to children under 16 through Calendr unless Calendr agrees in writing and appropriate safeguards are documented.
3.2 Integrations
You control optional integrations (such as Google, Microsoft, Karbon, or Notion). You are responsible for enabling them lawfully and for instructions you give Calendr when using them. No data is sent to an optional integration unless you enable or use it.
3.3 Calendar and meeting tools
You are responsible for permissions granted to calendar and meeting providers. We are not liable for third-party service changes or sync issues.
4. Subscriptions and payments
Fees are billed in advance through Stripe. You may cancel a subscription through the admin dashboard; refunds follow applicable law and our billing terms.
Cancellation is not deletion. Cancelling a subscription stops future billing but does not by itself delete firm data. An authorised administrator must delete the firm account to remove production customer data promptly.
5. Data and privacy
5.1 Hosting
Render hosts the Calendr application and primary databases. Firm data is stored in a region aligned with the firm’s configured data region (UK, EU, or US). AWS S3 stores relevant uploads. AWS SES sends transactional email.
5.2 Deletion and retention
When an authorised administrator deletes a firm account, production customer data is deleted promptly from live systems. Residual copies may remain in Render backups for up to seven days. If you terminate without deleting the account, we aim to delete or anonymise data within 60 days unless law requires longer retention.
5.3 Data processing agreement
Where Calendr processes personal data on your behalf, the parties will enter into Calendr’s Data Processing Agreement (DPA). The DPA is available on request from thegoodpeople@calendr.so. If there is a conflict between these Terms and the DPA concerning data protection or processing obligations, the DPA prevails.

6. Communications
We use Amazon SES for service-related email such as confirmations and reminders.
7. Intellectual property
Calendr and associated materials are owned by Islington Partners LTD except for content you provide.
8. Third-party services
The service integrates with providers including Render, Amazon Web Services, Google, Microsoft, and Stripe. Their terms and availability apply to their services.
9. Service availability
We aim for high availability but do not guarantee uninterrupted access. Maintenance, abuse response, or legal requirements may require suspension.
10. Termination
You may terminate by cancelling subscription and, where appropriate, deleting your firm account. We may suspend or terminate access for breach or legal reasons. Data handling on termination is described in section 5 and the Privacy Policy.
11. Limitations of liability
We are not liable for missed meetings, scheduling conflicts, data loss beyond our reasonable control, or third-party outages. Our liability is limited to the amount paid by you for the service in the 12 months before the claim.
12. Governing law
These Terms are governed by the laws of England and Wales. Courts in England have exclusive jurisdiction.

14. Changes
We may update these Terms by posting a revised version with a new effective date. Continued use after changes constitutes acceptance.
